Organising your Google Drive once is all well and good, but keeping it organised is what's really going to save you time and stress.
The real secret to keeping your Google Drive organised is creating simple habits you barely have to think about!
Here are 5 easy ways to keep your Google Drive organised long-term
1. Set a Weekly Clean-Up Reminder
Block out 10–15 minutes each week to sort new files, delete clutter, and move anything that's in the wrong place.
Why?
It stops things from building up into a big overwhelming project later. No more frantically searching for that one contract you swore you saw just last week...
2. Use Starred Folders for Your Most-Used Files
Star your active projects or important folders so you can access them quickly without looking through layers and layers of folders. You want to be able to get to the folder you need within 3 clicks!
Why?
It keeps your daily workflow smooth and reduces wasted time.
3. Stick to a Consistent Naming Style
Always use the same naming format you set up originally.
Why?
It keeps things clean, clear, and easy to find. If you're constantly using new naming styles, you're going to have such a hard time finding that one agreement you had in 2024 with Mr X.

4. Archive Old Projects Every Quarter
Once a project is finished or a client file is inactive, move it to an "Archive" folder.
Why?
The project is finished so you don't need access to this folder anymore. This will keep your active projects at the top of your folders list.
5. Review Sharing Permissions Regularly
Every few months, check who has access to your shared folders and files. Remove people who no longer need access.
Why?
It protects your privacy, your business, and keeps everything tidy on the back end.
